Student Organization Recognition

  • My group does not show up in OrgCentral, how do I renew their registration?

    If your group does not appear on the All Groups page in OrgCentral or via the search, please contact SPI at studentinvolvement@k-state.edu

  • I can't find the Group Re-Registration form.

    Only individuals listed as Officers of a group have access to the re-registration form. If you do not see the "Re-Registration" button,  then it is likely you are not currently listed as an officer of your group.

    Please contact SPI at studentinvolvement@k-state.edu and provide your full name along with the full organization name of the group you are trying to re-register, as well as a short description of the issue you need help with (I.E. I need access to re-register my student organization). A SPI staff member will activate your access or respond with additional information.

  • How do I know if I'm listed as an Officer of my organization on OrgCentral?

    One easy way to tell if you are a member vs. an officer of a group is to visit your organization's group in OrgCentral and pay attention to the information displayed. When officers visit their group in OrgCentral, they are taken to the dashboard, which is an administrative view of your management features. If you are not directly taken to the dashboard, then you are not listed as an officer of your group.

  • What if I'm not listed as an officer but I need to complete the recognition renewal process?

    If you need to complete the re-registration process for your organization, but you are not currently listed as an Officer of you group, please contact Student Programs and Involvement via email (studentinvolvement@k-state.edu) and provide Your Full Name along with the Full Organization Name of the group you are trying to re-register, as well as a short description of the issue you need help with (i.e. I need access to re-register my student organization). A SPI staff member will activate your access or respond with additional information.

  • I tried to assign my Advisor as an officer but they did not show up in the auto-populated list of people.

    If your organization advisor is a current K-State faculty/staff member, you may want to check the spelling of their name as all currently employees should have accounts created in the system. If you continue to have issues, email studentinvolvement@ksu.edu and we can check further.

  • I don't know who my RSO's sponsor is.

    Your RSO sponsor is the individual that has university authority to assume financial responsibility, risk accountability, and has final authority over the organization. If you are within an academic department, chances are this person is either the department head or a college dean. If your organization is in a department outside of a college, chances are this person is the director of the office your organization works with most closely. If you need additional assistance in identifying this person, your advisor may know, or you can email studentinvolvement@ksu.edu for further assistance.

  • My RSO sponsor did not receive the approval email.

    If your RSO sponsor doesn't recall getting an email to approve the organization's registration, email studentinvolvement@ksu.edu to have the email notification re-sent. You might also encourage the RSO sponsor to check their spam & junk folders. The email would come from CampusGroups with the subject line "WORKFLOW APPROVAL..."

  • How can I find the President/Advisor checklist on OrgCentral?

    The checklists will only be assigned to the individuals listed as the President and Advisor of an organization on the re-registration form.

    The checklists are assigned to individuals manually by a SPI staff member after a group’s initial registration or re-registration form has been submitted. This may take 1-2 business days to appear in OrgCentral. The president and advisor will receive an email from a SPI staff member when the checklist assignment has been made.

  • What are the requirements to be an advisor?

    An advisor is a member of the university faculty or staff, on at least 0.5 FTE, who acts as the primary liaison between the university and the recognized student organization. Learn more here.

  • How can I find an advisor for my organization?

    Sponsored RSOs will have an advisor assigned to the organization by their sponsoring department.

    Affiliated RSOs are responsible for seeking out a University faculty/staff member to serve as an Advisor. A great place to start is within your own personal network. Ask your friends, members, and alumni to help out. Tell your professors, mentors, and academic advisors about your organization and ask them to share your information with anyone they know who might be interested. When chatting with a potential new Advisor, discuss your expectations of the Advisor, such as how often you’d like them to attend meetings and events, and what areas you need their support in.

  • What if I don't have an advisor when I complete renewal?

    All RSOs are required to have a faculty advisor at the time of recognition. If you do not have an advisor at that point, you will not be able to recognize with the University.

Financial Information

  • Things to Consider Regarding Off-Campus Funds and Accounts

    This is not an exhaustive list or financial advice. The university retains the right to review off-campus accounts of recognized student organizations.

    • General Accounting Compliance
      • Who will assist your organization with making sure its account meets all compliance requirements? Because of the nature of off-campus accounts, the University will not provide accounting advice or services. The organization will be entirely responsible for knowing of and meeting all requirements and best practices.
    • Establishing a bank account
      • Does your organization have a Federal Identification Number? This will be required to open an account. You may not use the University's Federal Identification Number.
        • Ensure your organization name matches what is listed as the organization if you do have a Federal Identification Number.
    • Account Signature Authority
      • Who will be authorized to access/spend/sign for your bank account?
      • How will the transfer of authorization be handled when someone leaves the organization?
      • How will your organization ensure that someone in your organization has access to your account?
      • How will your organization handle any fees incurred for the account, such as an overdraft fee?
    • Record Keeping
      • Who will keep track of your organization's account balance?
      • Who will verify that the debits/credits to the account are legitimate and complete?
    • Accepting / Depositing Funds
      • Who/how/when will your organization deposit funds to your account?
      • What methods will your organization utilize to accept funds? EX: case, check, Venmo, credit card?
    • Payment / Invoices / Contracts
      • Who will process payments for your organization?
      • Will you seek legal support when entering a contract? EX: You hire someone using your off-campus funds.
      • Who will process 1099 forms for your organization?
    • Tax Reporting
      • Who will make sure your organization adheres to tax reporting obligations?

    • Sales Tax
      • Will your organization collect sales tax?
      • Will your organization remit (pass along) that sales tax to the appropriate authorities?

  • What to Expect When Opening an Account

    RSOs may open an account at the bank of their choosing. When opening an account, RSOs may be required to provided certain information or documentation, such as:

    • EIN or SSN
      • RSOs can apply for an EIN with the IRS. DO NOT use K-State's EIN.
    • Articles of Organization
      • Provide a document from the organization that outlines the individuals who hold officer positions for the organization, their contact information, and the name of the officer position they hold.
    • One Document That Proves Existence of Organization
      • The organization's constitution may meet this requirement in some circumstances.
    • Authorized Signers
      • The organization may need to establish who is an Authorized Signer for the account. Individuals may need to show a government issued photo ID.
      • Updating Authorized Signers - It is possible that only a currently authorized signer would have the authority to make changes to who is on the signature card for the account. To update/change authorized signers, the organization may need to provide the bank with a copy of the minutes from the meeting that outline specifically who/what is changing with the account.
  • Sponsored Organizations

    • Can Sponsored RSOs use the University's FEIN to open off-campus accounts?
      • No. Sponsored RSOs interested in obtaining an FEIN should apply with the Internal Revenue Service.
    • Can Sponsored RSOs use the University's tax-exempt status to make purchase?
      • Only if they are using funds on deposit with the University to pay for the purchase.
    • Can Sponsored RSOs work with the KSU Foundation to accept donations?
      • They should work with their sponsoring department to learn more.

  • Affiliated Organizations

    • Can Affiliated RSOs use the University's tax-exempt status for purchases?
      • No. Affiliated RSOs interested in tax-exemption should apply for 501c3 status with the Internal Revenue Service.
    • Can Affiliated RSOs use the University's FEIN to open off-campus accounts?
      • No. Affiliated RSOs interested in obtaining an FEIN should apply with the Internal Revenue Service.

Travel and Insurance

  • My group is wanting to travel, what rules/guidelines does the university have?

    The following guidance applies to student organization travel that occurs beyond 30 miles of the primary campus location, or includes an overnight stay regardless of distance.

    • University-owned/leased Vehicles:
      • Policies: Travel must comply with university policies on vehicle use
      • Insurance: University-owned and leased vehicles are covered by the university's auto liability insurance policy. The university does not purchase collision or comprehensive insurance coverage.
      • Incident reporting: All incidents involving university-owned vehicles must be reported to the Office of Risk and Compliance
      • Sponsored Organizations are eligible to drive university-owned vehicles if approved by the sponsoring department. Sponsored organization advisors should reserve vehicles.
      • Affiliated Organizations are not eligible to drive university-owned vehicles. Affiliated organizations are responsible for funding and managing their own transportation and travel arrangements. Affiliated organization advisors should not request motor pool vehicles or use university-owned vehicles for affiliated organization activities.
    • Student Conduct:
      • The student organization conduct code and process for discipline applies to behaviors that take place on the K-State campus and at university or RSO-sponsored events whether on or off-campus. It may also apply to other off-campus behaviors when the university determines there may be a violation of other policies. Those policies include, but are not limited to, the following:
        • PPM 3010: Policy Prohibiting Discrimination, Harassment, and Sexual Harassment, and Procedure for Reviewing Complaints
        • PPM 3015: Threat Management Policy
        • PPM 8520: Social Media Policy, the Student Code of Conduct.
    • Lodging Arrangements:
      • Hotels are preferred, but short-term real properties (Airbnb, VRBO, etc...) are acceptable. Student organizations should closely review short-term rental property locations, facilities, and contracts before booking. Pay close attention to the following:
        • Safety
        • Physical security
        • IT security
        • Vacancy
        • Other occupants
        • Insurance requirements
        • Occupancy Limits
        • Etc...

  • We want to host an event, but are worried about insurance.

    Sponsored Organizations have general liability protection under the Kansas Tort Claims Act.

    Affiliated Organizations can purchase special event general liability policy for specific events. An example of this insurance can be found here.
